Who is responsible for your information
Charlotte Petch, trading as Charlotte & Glow, is responsible for the personal information used to answer enquiries and arrange beauty appointments. Contact charlotte@charlotteglow.co.uk or 07816 356994 with privacy questions or to request correspondence details. Home appointment directions are shared privately when a booking is confirmed.
Enquiries and bookings
If you phone or email, Charlotte receives the contact details, preferred treatments, dates, postcode and other information you choose to provide. This is used to answer your questions, check mobile availability and arrange your appointment. Providing these details is voluntary, but without enough information Charlotte may be unable to answer or arrange a visit.
The website enquiry tool prepares a draft in your own email app. It does not send a form submission or store your enquiry in a website database. You choose whether to send the email. Please leave health and medical details out of your initial message; any necessary treatment consultation information will be explained and collected separately.
Why information is used
Information needed to respond to an appointment request or provide an agreed service is processed to take steps at your request before a contract or to perform that contract. General correspondence and website security are handled under legitimate interests in answering enquiries and protecting the service. Information may also be retained where needed to meet legal obligations. Making an enquiry does not subscribe you to marketing.
Service providers and security
The website is hosted by Freeola. Hosting, website security and email service providers may process technical records or communications to operate and protect these services. Information may also be disclosed where legally required or necessary to handle a complaint or legal claim. Personal information is not sold.
Website and security logs may include IP addresses, requested pages, times and browser information. These are used to operate the website and investigate errors or suspicious activity. Contact Charlotte if you need details of the service providers handling your enquiry, their processing locations or the safeguards applicable to your information.
How long information is kept
Enquiry correspondence is retained while the request is being answered and any related appointment or follow-up is being arranged. When deciding whether it is still needed, Charlotte considers whether the enquiry is resolved, whether an appointment followed, and whether an outstanding complaint, legal requirement or claim requires relevant information to be kept. Information should be deleted when these purposes no longer apply, rather than retained indefinitely. Treatment and financial records, if created, have separate purposes and retention requirements.
Your rights
Depending on the circumstances, you can ask for access to your information, correction, deletion, restriction of processing or a portable copy. Where processing relies on consent, you can withdraw it without affecting the lawfulness of earlier processing.
Your right to object: you can object to processing based on legitimate interests. Contact Charlotte using the details above to make a request or raise a concern. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint/.
